Reporting to the Registrar, this position plays a key role in the management of the Registration Centre at Vancouver Island University. This position oversees the functions of the Records department by supervising six support staff. Areas of responsibility include exam scheduling, course scheduling, room bookings, transcript production, official calendar maintenance, ad hoc reporting, degree audit software management, web registration administration, probation and suspension policy implementation and the maintenance of student records and institutional data.
Requiring strong technical skills, this position supports a complex set of data systems, including systems used for course and program management, and systems used for student enrolment and financial data. This position is required to build and generate reports from these systems for a variety of stakeholders across the institution and also manage the accuracy of the data in these systems by assisting database users and initiating bulk data corrections as necessary. This position ensures the smooth functioning of the Student Records System and other related systems by controlling user access to the data, troubleshooting problems, identifying system improvements, managing enhancement projects and liaising with Information Systems personnel as needed.
Finally, this position works closely with the Registrar, Admissions Manager and Registration/Admissions Office Manager in the development of policies and procedures that meet our goal of providing exceptional service to students, staff and the general public.
Bachelor's Degree including coursework in statistics. Five to ten years experience in a post-secondary setting or comparable office environment. Advanced level experience with Microsoft Excel, Microsoft Access and Microsoft Word. Experience with database management and database query tools. Strong written & verbal communication skills.|
