Duties: This position receives direction from the Administrative Assistant to the Dean of Education and is responsible for providing clerical support to the Education/SHAPE faculty.

Provide phone and in-person reception. Receive and handle in-person and phone inquiries; provide clerical support to all Education/SHAPE faculty, order and maintain supplies, photocopy faculty requests, assist with special event planning, design brochures; complete purchase orders, reconcile invoices, process student application forms, and complete room booking requests for faculty. Work closely with the Chair of the SHAPE Department in budgeting, appointments and timetabling SHAPE courses (SAWS).

Assist the Teacher Specialty Post-degree Program and Master of Special Education Program. Timetable courses, create faculty appointments, administer evaluation process, and monitor budget.

Supervise work-op students within programs supported.
 
Required Qualifications: One-year certificate in Applied Business Technology, or equivalent, from an appropriately accredited institution. Three to five years recent directly related experience. An equivalent combination of education and experience may be considered. Senior-level word processing proficiency. Proficient in all MS Office applications. 50 wpm typing speed. Ability to set priorities for multiple activities amidst constant demands. Ability to plan daily office routine. Experience in an environment with a high demand for interpersonal skills in a diverse setting. Proven superior written communications skills. Proven experience working in a team environment and ability to complete tasks independently. Demonstrated experience dealing appropriately with confidential material.
 
Preferred Qualifications: Previous experience in a post-secondary professional program setting. Familiarity with VIU policies, procedures, and systems (e.g., appointment system, financial records system, student record system). Familiarity with website content maintenance and social networking methods.
