Plan and implement Continuing Education and Contract Services courses: confirm number of students in class; prepare photocopy requests; arrange audiovisual equipment as requested. Provide support to instructors. Ensure course change forms are completed and students receive new information. Monitor class sizes and section waitlists. Recommend addition of second sections from waitlists. Liaise with Bookstore, Registration, room bookings, and switchboard. Provide back-up data entry and process registrations. Aid in the publication of the brochure; layout and coordinate mailing of pamphlets. Maintain systems for the smooth operation of a Continuing Education Department including filing; bring forward system, and information flow. Complete payroll forms, instructor expense claim forms, instructor's letters, purchase orders, cheque requisitions, book requisitions, and invoices required for courses. Instructor contact go/cancel on all courses. Arrange and enter data for courses to be repeated for the fall, winter, spring and summer. May include liaison with advisory committees. Statistical reporting of each term's cancellations, contract activity, enrollments, etc. Schedule off-site facility for CE courses. Ordering, monitoring, storing, and maintaining books and course work for CE classes. Confirm online course offerings and provide support to online students.|
High School diploma required plus additional coursework equivalent to 6 to 30 college credits in areas such as Accounting, Marketing, or Project Management, from an appropriately accredited institution. Five to seven years recent related experience. MS Office proficiency with senior-level word processing; typing speed of 45 wpm. Familiarity with key organizations relevant to Continuing Education and knowledge of the needs of the Cowichan Valley. Demonstrated skills in coordinating, promoting, and implementing programs. Demonstrated ability to work independently and take initiative; ability to manage multiple demands with frequent interruptions; ability to set priorities; ability to work effectively as part of a team; excellent interpersonal skills and ability to establish positive working relationships.|
Working knowledge of and experience in Continuing Education. Familiarity with Vancouver Island University services and departments. Knowledge of VIU programs such as CESB and SRS.|
