Duties: Reporting to the Advancement Manager, Gift Planning & Donor Relations, the Scholarship Awards Bursary Co-ordinator initiates, coordinates and authorizes disbursement of both VIU internal awards and donor funded scholarships, awards and bursaries funded annually and by investments. Responsibilities include initiating and finalizing award criteria with donors, recording pledges, sending gift reminders, receiving payments, entering data and reporting, approving disbursements, organizing awards with Financial Aid and Awards Office, and coordinating all donor stewardship activities related to "awards". This position will also develop and initiate an annual fundraising plan to increase the student support in areas of need.
Core duties include:

  • Maintain all awards data in donor data base and financial system and continually develop efficiencies in the growing program. Provide excellent communications and appropriate stewardship with external donors, VIU Faculties and departments.
  • Responsible for managing well over 2,000 awards valued at approx. $3 million annually and growing.

  • Respond and act promptly on diverse inquiries regarding awards & endowments both internally and externally.

  • Maintain award data in both the financial systems and Raisers Edge, as well as electronic and hardcopy files.

  • Represent VIU as the primary stewardship contact for all awards donors - a group of over 800. (Requires a high level of writing skills and verbal communications - can be very sensitive at times, and a high level of tact and discretion is required, as well as a thorough understanding and appreciation of confidentiality obligations). Report annually to donors on the impact of their gift.

  • Develop and implement process improvements.

  • Plan, manage and execute award donor stewardship events and meetings.

  • Initiate and implement an annual fundraising plan to increase student support factoring in areas of need. Responsible for soliciting and / or renewing over $350,000 annually with expectations to grow each year.

Required Qualifications: University degree at Bachelors' level. Minimum three years' experience. Strong ability to take initiative and take independent action. Excellent organization and project management skills. Excellent written and verbal skills. Experience with managing confidential information.

Microsoft Office at advanced level, including merges and building fillable forms. Financial and relational data base experience (preferably in an advanced education or fundraising environment).
Minimum three years' experience in a fundraising or Advancement office.
An equivalent combination of education and experience may be considered.
 
Preferred Qualifications: Direct experience with "Raisers Edge" (Fundraising Software for non-profits). Direct experience in advanced education. Familiarity with VIU and with VIU financial and student record systems.
