Application Instructions for Support Staff Positions (CUPE)

Contractual Provisions for Internal Applicants

In accordance with Article 13.03 of the CUPE Collective Agreement, applications are received from both internal and external applicants simultaneously. Qualified “internal applicants” will be considered before external applicants.

*Internal applicants are: Regular CUPE employees and Temporary/Casual CUPE employees with 600 hours or more of seniority at the date the posting closes. Internal applicants must use their employee number to apply to ensure internal status and seniority hours are recognized.


Important:
  • ONLY self-declare if you are a temporary or casual employee with less than 600 seniority hours in StarGarden AND you will accrue seniority hours by the posting close date to bring your seniority hours to 600 or more. You must self-declare to be considered an internal applicant.
  • DO NOT self-declare if you are a regular employee or you currently have 600 hours or more of seniority.
Self-Declaration Form Process:
  • Open the Self-declaration Form, complete and save form. When applying for a position upload the self-declaration form along with your application document(s) in the Online Applicant Portal.
  • Regular and temporary vacancies are filled according to Article 13.04 of the CUPE Collective Agreement.
  • Current Regular employees applying on temporary vacancies should review Article 21.06 c).

Applying Online

We encourage you to submit your application through the Online Applicant Portal:

  • You can track the job posting status and your application status.
  • You can review your VIU application history.
  • The online application process automatically assigns the competition number and position title to your application.
  • You can change your password and update your contact information anytime.

Steps for Applying Through the Online Applicant Portal

  1. Gather your required documents, as stated in the posting. Once you are logged into our system, it will time out after 15 minutes of inactivity.
  2. Our applicant portal works with Internet Explorer, Firefox and Safari web browsers
  3. Log onto the online application system at VIU by clicking on the Apply Online button at the top of each job posting or by choosing Online Applicant Portal from the Human Resources web page navigation menu.
    - If you have ever worked at VIU (even as a student employee), please use your six digit employee number as your user ID. Your social insurance number was originally defaulted to your password.
    - If you have applied to VIU before, please use your existing Applicant ID rather than create a new one. You can use the 'forgot your password' function if you know you have applied but do not remember your ID.
    - If you have never worked here nor applied, please click on New Applicant. Tips: Phone Number format: 000 000-0000 (area code, space, first three digits, dash, last four digits); Postal Code format: Z2Z 2Z2 (first three characters, space, last three characters).
  4. Open Available Positions, select the position you would like to apply for from the list by clicking on the grey arrow, next to the competition number, and then click Apply.
  5. Upload your CV/Resume and other attachments through the Browse button(s) and then click on Next. Your attachments can be uploaded in these formats: DOC, DOCX, RTF, PDF, and TXT. You may upload up to 5 documents that are up to 4 MB each. You may combine documents into one attachment (e.g., cover letter and CV/resume in one document).
  6. Tell us how you heard about the position and click on Finish to finalize your application.
  7. View your application within the My Applications section to confirm what you intended to attach successfully uploaded.

General Instructions

  • Job posting closing deadlines will be midnight (Pacific time) on the closing date unless otherwise specified.
  • Applications received after the closing date will be deemed “late” applications, and may not be considered. Any internal application received after the closing date will be deemed late and, as such, will not be entitled to any existing contractual hiring preferences.
  • All qualified candidates are encouraged to apply; however, Canadians and permanent residents will be given priority.
  • Applications are collected in the Human Resources Department until the closing date, and then forwarded to the selection committee for short-listing, interviews, and selection. The duration of this process varies.
  • Only applicants selected for interview will be contacted.
  • Applicants are expected to provide original credentials/certificates at time of interview.

Applying In-Person, Fax, or by Mail

If you are unable to apply online (the preferred method), we will accept applications via mail, fax, or personal delivery.

You must submit a separate application for each competition, and your application(s) must identify the competition number and job title you are applying for.
