Duties: Reporting to the Executive Assistant, Marketing, and Communications, this position provides general overall support to MARCOMM (with additional support to Recruitment and Analytics).

General Support

Serve as MARCOMM's receptionist, which includes: front counter services to students, staff, faculty and the general public; meeting agenda preparation and minute taking; administrative and event support for MARCOMM, including confidential support on sensitive matters; response to email, phone, and in-person inquiries; cooperative participation as part of the MARCOMM team; complex travel reservation arrangements and/or support for senior managers and recruitment officers; managing a complex and detailed database of stakeholder contacts; inventory management and supply purchasing; new initiatives support, and at times, coordination; job posting and selection committee support; HR and departmental record maintenance; and, task/duty prioritization.


Create and maintain relevant files related to student recruitment; manage, maintain and present prospective student information from databases; assist with preparation of prospective student recruitment packages; support Recruitment Officers with mail outs and recruitment activities planning; assist with documents and communications productions; gather and share information as requested; respond to inquiries from prospective students, faculty, student ambassadors, current students, VIU employees, and the general public by providing current and relevant information; assist with updating information for the website; assist with planning and coordination of recruitment and student engagement events (high school visits, counselor visits, information nights, webinars, etc.); assist with composing and editing communication templates for prospective students.


Assist with compiling, proof reading and editing analytic reports; assist with compiling data for analyst; coordinate with OUPA to ensure data collecting activities are not duplicated.
Required Qualifications: Certificate in Applied Business Technology, Office Administration or equivalent, from an appropriately accredited institution and five years of recent and related experience.

Senior level computer skills including all Microsoft Office Suite, ability to input detailed data into complex databases, web navigation, and a minimum of 45 wpm keyboarding speed. A strong commitment to excellent customer service that includes tact, diplomacy, good judgment, discretion, professionalism and initiative. Superior interpersonal, communication, and organizational skills. Demonstrated ability to work well as a team player and independently. Ability to multi-task, organize, and prioritize a large workload, while maintaining accuracy and close attention to detail. Demonstrated ability to be creative and problem solve in order to meet deadlines during peak times with frequent interruptions. Superior English composition, grammar, editing and proofing skills, and superior verbal communication skills. Above average ability to juggle numerous conflicting priorities. Experience working on and/or supporting event organization. Direct knowledge of VIU policies, programs and systems. Physically able to lift up to 20 lbs occasionally.
Preferred Qualifications: Bachelor's degree from an appropriately accredited institution. Knowledge and experience in working in a post-secondary education environment. Knowledge of and experience with Student Record System or similar database system; VIU systems and procedures (e.g. Financial Records System, purchase requisitions, purchase card reconciliation, HR appointment system, HR job posting, HR sick leave log, telephone support systems, IT services ticket system). Familiarity with Raiser's Edge database. Event Management Certificate. Web management skills. Experience with communications, public relations, and/or strategic marketing.
